TAILORED VENTURES TERMS & CONDITIONS

1. Reservations Procedure

  1. Prices are quoted in South African Rands (“ZAR”) for services inside the Republic of South Africa.
  2. Prices are quoted in United States Dollars (“USD”) for services outside South Africa.
  3. Prices quoted are subject to change resulting from cost increases that may occur from time to time such as for fuel, taxes, and currency exchange rates.
  4. Prices quoted are per-person unless otherwise indicated.
  5. Prices quoted for transport via air, water and land are subject to increase until tickets are issued.
  6. All provisional accommodation reservations are held for approximately 7 days. Tailored Ventures can only hold accommodation on a provisional basis to the extent permitted by each supplier.
  7. On acceptance of the final itinerary quote, the Client will: complete a guest information form; affirm that it has read, understands and accepts these Terms and Conditions; and return the completed form to Tailored Ventures, together with the required deposit and clear copies of all travellers’ passports.

2. Confirmed Reservations and Payment Policies

  1. The Client will confirm reservations in writing to Tailored Ventures. Tailored Ventures will respond in writing that the reservations are confirmed, and that everything in the itinerary has been booked.
  2. The Client will provide a non-refundable deposit in an amount not less than 25% of the final itinerary price. The balance of payment is required 60 days prior to scheduled departure date.
  3. From time to time, the deposit amount may change due to individual policies of each supplier.
  4. Should a reservation be made within 60 days of the scheduled departure date, payment for the full itinerary will be required.
  5. Upon receipt of final itinerary payment, Tailored Ventures will issue full travel documents including travel confirmations, e-tickets, (if applicable), vouchers and pre-travel information.

3. Payment Methods

1. Credit Cards

  1. Visa, MasterCard and American Express for South African Rand (ZAR) payments are accepted.
  2. Credit card fees may apply for credit card transactions.
  3. A secure payment link will be sent to the Client via PayGate.

2. Direct Deposit

  1. The deposit amount due will be paid via direct deposit/money transfer to the Tailored Ventures bank account provided on the invoice. South African Rand (ZAR) payments will be made to the ZAR account. United States Dollar (USD) payments will be made to the USD account.
  2. Bank fees for international payments are the sole responsibility of the client.

3. Should the quotation be converted to South African Rand (ZAR), the invoice will be converted at the Dollar/Rand rate of exchange on the day that the transaction is processed.

4. Cancellations, No-Shows, Refunds

  1. Cancellation requests must be in writing and are effective only when received by Tailored Ventures.
  2. Any reservations cancelled after deposit payment will be liable to cancellation fees according to each service provider’s individual terms and conditions.
  3. Cancellation fees will escalate in inverse proportion to the time remaining between receipt of the cancellation request and the Client’s scheduled departure date.
  4. Tailored Ventures may charge a fee for processing the booking cancellations.
  5. As of the scheduled departure date, no refunds will be made for any unused or partially used services such as transport, tours, meals, or other activities.
  6. Failure to travel without prior notification is considered a no-show, in which case the entire itinerary reservation is non-refundable.

5. Client Amendments to Confirmed Reservations

  1. The ability to have confirmed reservations amended depends upon on availability of alternative arrangements, as well as the rules and amendment penalties of each supplier.
  2. The Client will provide written agreement to any amendments to be made on its behalf.
  3. The Client will be responsible for payment of all fees incurred as a result of any amendments.
  4. Tailored Ventures may charge a small fee for processing amendments.

5. Client Amendments to Confirmed Reservations

6. Minor Changes to Confirmed Itineraries

  1. While Tailored Ventures makes every effort to adhere to all confirmed itineraries, changes to advertised vacations are occasionally necessary in order to maintain Client comfort and convenience.  Examples of minor changes are: flight re-routing due to weather; revised flight timings of 12 hours or less; type of aircraft; move to similar accommodation due to adjacent construction operations, etc.  When known in advance, Tailored Ventures will notify the Client as soon as possible.
  2. Minor changes are ineligible for refunds.

7. Liability

  1. In the unlikely event of unscheduled alterations to the itinerary, Tailored Ventures is not responsible for any direct or indirect cost incurred as result of: trip interruption; cancellation or postponement of travel, accommodation or services; any delay, additional expense, inconvenience, loss or injury sustained, etc; unless proven to have been preventable by reasonable diligence on the part of Tailored Ventures.
  2. Tailored Ventures is not responsible for health related events, Including but not necessarily limited to costs of physician fees, treatments, drugs, prosthetics, hospital and clinical services, etc.
  3. Non-liability events include but are not necessarily limited to flight re-scheduling, flight delays, bad weather, labour strikes, acts of God, force majeure, equipment failure, riots, strikes, political uprisings, etc.
  4. It is the Client’s responsibility to arrange and pay for adequate insurance coverage.

8. Delivery or Non-Delivery of Service

  1. The Client will immediately communicate any difficulties, complaints or non-delivery of service directly to the attention of the third party supplier, as well as to Tailored Ventures.
  2. The Client will address any claims regarding delivery or non-delivery of service directly to the third party supplier.

9. Transport Reservations

  1. Transport includes travel by air, water, and land.
  2. Prices quoted for transport services are subject to increase until tickets are issued, i.e., following Tailored Ventures’ receipt of full payment by the Client and receipt of tickets from the carrier.
  3. The Client will provide to Tailored Ventures full passenger names, exactly matching passports to be used during travel. The Client is responsible for all fees and expenses that may be incurred due to an incorrect name.
  4. Upon receipt of final payment for the itinerary, Tailored Ventures will issue full travel documents, including full travel confirmations, e-tickets (if applicable), vouchers, and pre-travel information.
  5. Tailored Ventures has no control over and assumes no liability for transport labour strikes, schedule changes, travel delays, flight cancellations, overbooking, or other transport carrier-initiated changes.
  6. Tailored Ventures will provide assistance to the Client with any aspect of transport reservations, to the extent possible.

10. Travel Visas and Immigration

  1. Tailored Ventures cannot apply for travel visas on behalf of Clients.
  2. Although Tailored Ventures will provide assistance as to what is required for any specific country, it remains the Client’s responsibility to seek verification from its local consulate as to current entry requirements, together with the necessary travel documentation based on the country of origin, destination, and any countries in which a stop is scheduled.
  3. Tailored Ventures is not responsible for the Client being denied travel to or entry into any country for any reason whatsoever, and is not liable for any claims arising.
  4. Tailored Ventures is not liable for any advice whatsoever provided by embassies, consulates, travel visa companies, etc.
  5. The Client is responsible for ensuring that passports are valid prior to  departure, remain valid for a minimum of six months beyond the scheduled return travel date, and contain sufficient blank pages for attachment of any required travel visas or other official notices.

11. Travelling with Minors

  1. The Client must verify with the appropriate authorities the most current documentation and entry requirements with regards to travelling with minors. No refund will be issued for losses incurred as a result of failure to obtain or provide required valid documentation, or for noncompliance with requirements of authorities having jurisdiction.
  2. When traveling to South Africa with children under 18 years of age, the Client must provide an unabridged birth certificate for each child.  Both parents are required to be present.  Should this not be possible the Client will discuss with Tailored Ventures so that the appropriate process can be identified.

12. Mandatory Inoculations

  1. Prior to departure, the Client will consult with appropriate medical professionals for any necessary vaccinations, inoculations or medication prior to travel. For malaria specific information in Africa. (For reference: www.travelclinic.co.za)
  2. Travel visas and immunisation requirements vary from country to country and the Client will obtain up-to-date information from its local health department, consulate, etc.
  3. The risk of not being able to commence or continue an itinerary as a result of defects or deficiencies in visas or immunization rests exclusively with the Client.

13. Accommodations

  1. Facilities, guest services and amenities are provided at the discretion of the hotel, lodge, camp, etc., and are subject to change without notice.
  2. Any additional costs are the responsibility of the Client and are payable directly to the facility.
  3. Room location, connecting rooms and bedding requests are not guaranteed, and are based upon availability at time of check-in.
  4. Accommodation descriptions and photographs do not necessarily depict the actual room in which Client guests will be accommodated.  Maps and images may not be exact or to scale, and are for general description purposes only.
  5. Room standards are the sole responsibility of the accommodation supplier.
  6. Although most accommodations have been experienced by Tailored Ventures, ratings provided are based largely on the most recent information provided by the suppliers, and client feedback.

14. Baggage and Personal Property

  1. Baggage checked or carried on board an aircraft or vehicle may be subject to fees based on weight, number and size.
  2. The Client is responsible for ascertaining current baggage policy from carriers.
  3. All baggage fees are the responsibility of the Client and payable directly to the carrier.
  4. Tailored Ventures is not responsible or liable for any delay, loss or damage to baggage and personal property.

15. Physical Disabilities

  1. Clients requiring special facilities, services or accommodations must disclose such needs to Tailored Ventures at the time of reservation.

16. Governing Law

  1. The laws of South Africa will apply to the agreement between the Client and Tailored Ventures.
